We have registered our interest with the organisers in showcasing our Club at CarFest South 2016.
They have subsequently invited us to be a part of this year’s events taking place over 26th – 28th August 2016 (the Bank Holiday Weekend).

To cut out a lot of the 'blurb' at present here are the essential details you will need to know.

The cost for our Club pitch at this year’s event is £650 + VAT (ie. total of £780.00) and highlighted below is what this package will include:

· Space for five vehicles at this show - it's a three day show to the public.
· Two weekend wristbands per vehicle giving you a total of 10 wristbands per club.
· A direct donation of 20% of the pitch price going straight to BBC Children in Need.
· The structure of the stand will include a 3m x 3m marquee with a bench and parasol.
· Access to everything that CarFest South has to offer throughout the weekend*.

*Doo look on thier website to see all that is on and the live bands playing on the three evenings.

They can also offer Club camping pitches at a size of 6m x 9m which can hold up to an average of two 4 man tents.
There are two options available within the campsite which is listed below:

· £150 + VAT for the standard 6m x 9m pitch.
· £200 + VAT for a 6m x 9m pitch with a power hook up.

We would need to get back to the organisers with vehicle details etc. and then they would discuss it further before coming back to us to see if we are successful.

The price of £78.00 for access to the three day show and all it can offer is well below the price to the public (price based upon 10 people and 5 Kombis) - see their website for further details.

We would certainly be interested in this opportunity having attended last year's show on the Saturday and Sunday.

We're interested in theory but have a few questions/comments for you.

1) the price suggested - £78pp based on 10 - doesn't include the cost of camping, or does it?
2) the camping pitches quoted are only for tents, or are they?
3) there is a separate caravan/camping permit required in order to take a camper into the camping field which is either £70 or &85 depending on the chosen field, or is there?
4) should we assume once parked, our kombis can't be moved, or can they?
5) can you confirm or deny any of the above, or can't you?

Thank you for your interest and prompt response.
We shall answer your questions based upon what we currently know (ie. our interpretation of what we have been sent and our experience from last year's show).

Question 1
As explained above, the £78.00 per person is based upon three days access to the show, with 5 Kombis and 10 individuals. For clarification, it does not include camping, it allows two people access to the show and one Kombi for display. You will not be camping/sleeping in your Kombi, it will be in the display area and it will need to remain static for the duration of the show. The price does include a £13.00 per person donation direct to BBC Children in Need.
Question 2
As it states above, the camping pitches are for tents - we are sure we could get away with our Khyam drive away awning (or your bell tent Tallulah if you so desire).
Question 3
The figures you are quoting are for the general public camping areas. As an exhibitor you will not be camping in these areas so the pricing will not apply. Similarly, you will not be taking your Kombi into these areas either. Club Camping pitches are offered for tents (see answer to question 2 above). Should you wish to camp at the venue this we understand is optional and so the price options outlined above are available for consideration. Last year we saw exhibitors entering the site daily (ie. not camping over night). They parked in the car park free of charge and walked into the site to their display ahead of the general public that could only gain access from set times - see website for details.
Question 4
The Kombis will be in a display and will need to remain static for the duration of the show. Obviously we shall have access to them during the day, but in the evening when the entertainment begins the display areas are no longer available to anyone. Setting up the display area before the show will require the Kombis to be in position before the show opens. We do not know if this is on the Friday morning or the Thursday afternoon. Similarly, expect not to be able to move your Kombi until the Monday morning. We shall know doubt be told more if our application is successful.
Question 5
We have answered the questions you have raised to the best of our ability - we hope the above helps at this stage.

There is a FAQ section on the website that answers many questions, but should you have any more specific questions we shall try to answer them.

So, you weren't suggesting that anyone camp, only that camping is available should it be required, and it won't be in your kombi as your kombi is 'on display' with no access overnight.

The Carfest site is approx 1 hr from us (25 miles using back roads), we'll have a think.

On the camping front, yes it is available and it may be of interest for those not so close.
Camping will be in your own tent and at the prices stated.

I'm watching this with interest. We are 30 mins from Laverstock so relatively local to us.
If we were able to camp in the Kombi and enjoy the 3 days of the show it would be a no brainer but we're really not keen using a separate tent or travelling back and forth each day. I would imagine that as 'exhibitors' we would also have to stick to strict timings to be with the display.

With regard to being on the stand, with 10 people there would obviously be a rota.
All could then enjoy the show and also be on the stand.

Realistically, 5 Kombis/10 people are needed to make it work in our opinion.
Until we get to at least that level of interest it will, we would suggest, not be progressing any further.
Hence the call for interest.

After further thought we'd like to pass on this. The logistics don't quite work for us.
